2.1 Personal Information You Provide

  • Name and email address when placing an order
  • Phone number / WhatsApp ID when you opt in to our WhatsApp learning programmes or support channel
  • Submitted writing tasks and documents
  • Voice notes, images, and files you send to us via WhatsApp while enrolled in a course
  • Online course enrollments and progress
  • Newsletter subscriptions
  • Messages via email, WhatsApp, or social media

Note: Payments are securely processed by our Merchant of Record, Fungies Inc. We do not store your credit card information.

4. WhatsApp & Social Media Communication

We offer optional learning programmes and customer support through the WhatsApp Business Platform. Use of WhatsApp is always opt-in — we only message your number after you have provided it to us and confirmed your wish to receive messages (for example, by enrolling in a WhatsApp course or initiating a support conversation).

4.1 What we process on WhatsApp

  • Your phone number / WhatsApp ID, profile name, and message timestamps
  • Text messages, voice notes, images, and files you send to us
  • Lesson progress, quiz answers, and engagement data for learners enrolled in a WhatsApp course

4.2 How we use WhatsApp messages

  • To deliver lessons, voice notes, reminders, and feedback as part of the course you enrolled in
  • To answer support questions and confirm orders, payments, or deliveries
  • To improve our courses (using anonymised, aggregated data only)

4.3 Meta as platform processor

WhatsApp is provided by Meta Platforms. Your messages to us are transmitted through Meta's infrastructure (servers located in the United States and other regions) and are subject to Meta's own privacy policy, available at whatsapp.com/legal/privacy-policy. We are the controller of the message content for our own purposes; Meta acts as the platform operator.

4.4 Opting out

  • Reply STOP at any time to stop receiving course or marketing messages from us on WhatsApp
  • Reply HELP for information about the service or to reach a human
  • You can also block our number directly in WhatsApp, or email support@motivationfeedback.com to request removal

5. AI-Assisted Services

  • AI tools assist human reviewers but do not replace them
  • All paid feedback is verified by educators before delivery
  • You may request manual-only corrections via email
  • We may use anonymised writing to improve future performance

When you use our free AI tools or our WhatsApp learning bot, the text, audio, or images you submit are sent to our third-party AI processing providers (located in the United States) solely to generate your response. We require these providers, by contract, not to use your content to train their public models. Responses are returned to you and stored in your account history where applicable.

5a. Third-Party Service Providers

We do not sell your personal data. We share the minimum data necessary with the following categories of processors, each bound by a data-processing agreement:

  • Merchant of record (Fungies Inc, USA) — processes payments and handles tax compliance. Receives your name, email, billing details, and order data.
  • Hosting provider (Germany) — hosts our application servers and databases inside the European Union.
  • Static site / CDN provider (global, EU edge) — serves our website and static assets.
  • Messaging platform (Meta Platforms, USA / Ireland) — provides the WhatsApp Business Platform we use for opt-in courses and support.
  • AI processing providers (USA) — generate AI feedback, voice notes, and tool responses on our behalf. Bound by no-training contractual terms.
  • Email delivery providers (USA / EU) — send transactional and newsletter emails.
  • Analytics providers (USA / EU) — provide aggregated, mostly anonymised usage statistics.

5b. International Data Transfers

Our primary application hosting is located in Germany. Some of our processors (notably the WhatsApp platform, AI providers, and our merchant of record) are located in the United States. Where personal data of EU/UK residents is transferred outside the EEA/UK, we rely on the European Commission's Standard Contractual Clauses (and the UK International Data Transfer Addendum where applicable) as the legal mechanism for transfer.

6. Data Retention & Expiry

  • User accounts remain active until requested for deletion
  • Submitted writing tasks may be stored for 12-36 months
  • Writing correction credits expire after 180 days
  • Course data is kept for as long as your access is active
  • Billing data is retained as required by law

  • Cookies help us improve navigation, performance, and speed
  • We may track usage through Google Analytics or similar tools
  • You can manage cookie preferences via your browser settings

9. Payments, Chargebacks & Disputes

  • All transactions are securely processed via Fungies Inc.
  • Unresolved chargebacks may result in account suspension
  • Please contact us directly for any billing issue before filing a dispute

  • We use SSL encryption and secure hosting practices
  • Access to user data is limited and monitored
  • We perform regular internal security checks

Note: While we take every precaution, no system is fully immune. Use strong passwords and avoid sharing login credentials.

10a. Lawful Basis for Processing (GDPR)

  • Contract — to deliver the courses, corrections, and tools you purchased
  • Consent — for WhatsApp messaging, marketing emails, and non-essential cookies (you may withdraw at any time)
  • Legitimate interest — for fraud prevention, service security, and aggregated analytics
  • Legal obligation — to retain billing and tax records as required by law

10b. Children's Privacy

Our services are intended for adult healthcare professionals and adult test candidates. We do not knowingly collect personal data from anyone under the age of 16. If you believe a child has provided us with personal data, please contact support@motivationfeedback.com and we will delete it.
